1. Who we are

MilepostOS is software for FedEx Ground pickup and delivery contractors, made by Elnath Industries LLC, a Texas limited liability company ("we", "us"). This policy covers this website (milepostos.com) and the MilepostOS desktop app.

MilepostOS is an independent product. It is not affiliated with, endorsed by, or sponsored by FedEx, GroundCloud, or Google.

2. This website

Beta signups. If you join the beta, we store the email address you enter, the time you signed up, and your browser's user-agent string (which identifies the browser type, not you). We use it only to contact you about MilepostOS. When you sign up, we send ourselves a notification email with your address.

No tracking. We do not set cookies, run analytics, or load advertising or tracking pixels on this site.

Hosting and fonts. The site is hosted by Cloudflare, which processes visitors' IP addresses to deliver and protect the site. Our typeface is loaded from Google Fonts, so your browser requests it from Google, which receives your IP address under Google's privacy policy.

Emailing us. Messages to support@milepostos.com are delivered to our business Gmail inbox. We use them to answer you.

3. The MilepostOS app

MilepostOS installs on your computer. Your payroll history, driver roster, timecards, settlement records, and settings are stored in a database on that computer. Some features need to go online, and here is exactly what each one sends.

Pay calculation

When you run payroll, the app sends our calculation service each driver's coded ID (a random code, not a name), pay type, rates, and the stops and hours for each day. It sends back the results. Names, addresses, your WSW and timecard files, and your settlements stay on your computer. The service keeps no copy of the inputs or results. We record only that a run happened, for billing.

License check

To confirm your subscription, the app sends your license key, an installation ID, your computer's name, and the app version. We store these with the date each installation was last seen, so we can show you which computers use your license and let you move or remove one.

Connections to your other accounts

If you connect accounts such as GroundCloud or your fuel card portal, the app signs in with the login you provide. That login is stored encrypted on your computer and is not sent to us.

HOS Alerts (optional add-on, when available)

If you turn on HOS Alerts, driver names, mobile numbers, and clock-in and clock-out times pass through our servers and our text message provider, Twilio, so that drivers who opted in can be texted their hours-of-service reminders. We keep a log of messages sent (recipient number, date, and delivery status) to prevent duplicate texts and to show you what went out.

Dottie, the AI assistant

Dottie uses an AI key you provide from Anthropic. What you type to Dottie, and the information she looks up in the app to answer you, is sent to Anthropic under your own account and Anthropic's terms. It is not sent to us. Dottie is not used to review in-cab footage.

In-cab footage

If you use footage features, the app downloads your own in-cab camera footage from your GroundCloud account to your computer and flags events like hard bumps and sudden stops from the camera's motion data. Footage stays on your computer. It is not sent to us or to any AI provider, and the app does not search or transcribe audio.

Crash reports and usage data

The app does not send us telemetry, analytics, or crash reports.

4. Gmail and Google user data

The Email Pay feature lets you email each driver their pay statement from your own Gmail account. When you connect Gmail, the app asks Google for these permissions:

What we do with it. The app uses this access only to send the pay statement emails you start, and to show you which address is connected. It cannot read, search, or delete your email.

Where it goes. The app talks to Google directly from your computer. Your Google sign-in tokens are stored encrypted on your computer. Your Gmail data, tokens, and the emails you send are never sent to our servers, never stored by us, and never seen by us.

What we never do. We do not sell Google user data, use it for advertising, use it to train AI models, or let anyone read it. We do not transfer it to anyone, except as needed to send the email you asked to send, to comply with law, or with your permission.

MilepostOS's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You can disconnect Gmail in the app at any time, and you can also remove access from your Google Account permissions page.

5. Your drivers' and employees' data

The information about your drivers and staff in MilepostOS belongs to you, our customer, and you decide how it is used. For the limited pieces that pass through our services (coded pay inputs, and names and mobile numbers if you use HOS Alerts), we act only on your instructions and only to provide the service. Drivers with questions about their information should contact the contractor they work for. We will help that contractor respond.

We may also share information if the law requires it, to protect rights and safety, or as part of a sale or merger of our business, in which case this policy continues to apply.

7. How long we keep information

8. Security

Information sent between the app and our services is encrypted in transit. Logins and tokens stored by the app are encrypted with your computer's built-in credential protection. License tokens are stored on our side only as one-way hashes. Because your records live on your computer, keeping that computer secure (a sign-in password, screen lock, and disk encryption) is an important part of keeping them safe.

9. Your choices and rights

You can ask us to tell you what personal information we hold about you, correct it, delete it, or stop contacting you, by emailing support@milepostos.com. We will respond within 45 days. Depending on where you live, state law may give you additional rights. We will not treat you differently for using them.

10. Children

MilepostOS is a business tool and is not directed at children under 13. We do not knowingly collect their information.

11. Changes to this policy

If we change this policy, we will post the new version here with a new effective date. If a change is significant, we will tell customers by email or in the app before it takes effect.
